Job Title: Secretary to the Board of Directors
Role Description: The overall role of the Secretary to the Board is to ensure that accurate and sufficient documentation exists to meet legal requirements, and to enable authorised persons to determine when, how, and by whom the Board’s legal business was conducted. The Secretary must make accurate records, make them available as required and submit reports to the BOD as required. The Secretary to the Board is a NON-VOTING MEMBER.
Reports to: The Chairperson, RGC Board of Directors.
About Us: Renmore Gymnastics Club (RGC) is a not-for-profit gymnastics club located in Ballybrit, Galway. We provide recreational and competitive gymnastics training to children and adults. Our mission is to coach our members toward their full potential in a safe, fun and progressive gymnastics environment.
Who are we looking for:
We look forward to welcoming an enthusiastic and experienced volunteer Secretary to the Board of Directors, in a time when we have just completed a rebranding of the club which is to be launched in the coming months. We are a club with over 1,000 members and operate across a range of levels from high performance to recreational. We would welcome a director with the relevant academic and networking skills in this field to help us to bring our new brand and the club forward as we continue to grow to be one of the largest providers of gymnastics training in the country.
1. To Ensure that Proper Administrative Records are Maintained;
a. To record accurate minutes of Board and General Meetings are taken and approved.
b. To maintain Club records and make them available when authorised by the BOD as required.
c. To oversee membership records.
d. To ensure that the Club Constitution and Rules are available at all meetings, while being conversant in their contents.
e. To notify BOD and Club members promptly in advance of any meetings.
f. To create and distribute Agenda for all meetings.
g. To call any meeting to order prior to commencement.
h. To act as the conduit for general correspondence to the BOD.
i. To ensure compliance with relevant legislation.
j. To be impartial in their filing/archiving of Club documents.
2. Maintaining the “Club History”;
a. The Secretary to the Board is responsible to creating, maintaining, controlling access to and updating a “CLUB HISTORY”.
b. This history should reflect the following at a minimum;
i. Origins of the Club
ii. Achievements of the Club
iii. Development of the Club
iv. Records of Appointment Holders
v. Photo Archive
vi. Document Archive
vii. Any other information which is deemed relevant from time to time.
c. The Secretary to the Board is also responsible for publishing a “Club History” when it is deemed necessary by the BOD.
3. Common Responsibilities of all Board Members
To adhere to the common responsibilities of all board members.
Previous experience in an administrative role.
